Planning weddings is fun, rewarding, and full of exciting opportunities to bring dreams to life. But here’s the real question: Are you doing things the right way?
It’s one thing to have an eye for design, a Pinterest board full of inspiration, or even a knack for organization. But running a wedding business goes far beyond décor and timelines. Do you truly know what’s expected of you as a professional?
Let’s take a look at a few areas where wedding planners and professionals often miss the mark:
1. Government Expectations & Business Legality
Do you know what the government requires from you as a business owner? From proper contracts to business licensing, liability insurance, and tax compliance, these aren’t optional extras—they’re the foundation of a legitimate, trustworthy business.
2. The Legalities of Weddings
What’s required for a wedding to be recognized as legally binding in your region or abroad? Can your couple legally marry at the location they’ve chosen? Understanding the differences between symbolic ceremonies, civil ceremonies, and religious ceremonies is crucial.
3. Etiquette Matters
The nuances of wedding etiquette aren’t just “old-fashioned rules”—they’re a guide for respecting culture, tradition, and your clients’ wishes. Missteps here can lead to uncomfortable moments that overshadow the celebration.
4. Food Safety & Health Regulations
Did you know it’s actually toxic to put fresh flowers directly on a cake? Or that there are health codes regarding food handling and service that every planner should be aware of? Food safety is not just the caterer’s responsibility—it’s part of protecting your clients and their guests.
5. Psychology of Couples
Do you understand the psychology of engaged couples and the dynamics that come with wedding planning? Knowing how to navigate stress, family politics, and high emotions is part of being a successful planner.
6. Inclusivity & Sensitivity
Do you know the nuances of working with LGBTQ+ couples and their guests? Inclusivity is about more than just “being accepting.” It’s about language, vendor referrals, comfort, and creating a safe space where everyone feels celebrated.
7. Alcohol & Guest Management
Do you know how much alcohol to order for 175 guests? Or how to set guidelines for safe service? Misjudging this can create liability and safety issues that reflect poorly on you.
8. Contracts, Riders & BEOs
Do you fully understand riders and Banquet Event Orders (BEOs)? These documents are packed with legal and logistical details. Misreading or ignoring them can lead to costly mistakes and unhappy clients.
9. Contingency Plans and Backup
A true professional always has contingency plans in place. What happens if a vendor no-shows? Or if inclement weather rolls in on an outdoor wedding? What if the power goes out, the cake collapses, or the DJ’s equipment fails? Even more importantly, what happens if you, the planner, suddenly can’t make it due to illness or an emergency?
That’s why professionals build relationships with trusted colleagues who can step in if needed. WPIC Certified planners, for example, have the WPIC Alumni Network, which provides an incredible safety net of vetted, trained professionals to call on in emergencies. Couples should never be left stranded, and pros ensure they aren’t.
When people say they are “self-taught” in weddings and try to spin it as a brag, I always chuckle. The truth is, they don’t even know what they don’t know.
Education, training, and ongoing professional development are what separate hobbyists from true professionals. Couples trust you with one of the biggest days of their lives. You owe it to them (and yourself) to do things the right way.
