by Danielle Andrews, President of WPIC Inc, with the help of the ChatGPT AI
Several months ago, I wrote an article about using AI to help create blog posts and social media captions. Using AI for business was very, very new at that time, and people weren’t quite sure how to use it. Personally, I love AI and utilize it in Canva Pro and through ChatGPT for a multitude of things from proposals to biographies, and blog ideas to captions for social media. To truly benefit from the power of AI it is important to understand how to personalize it to you, your brand, and your business. This is done through your prompts. Luckily there are several low-cost courses available to you, all you have to do is Google them and they will start appearing on your Instagram feed, lol. Or you can do as I did, and ask the source.
When I started thinking about putting together this blog, I went to ChatGPT and asked, “What is the best way for a wedding planner to utilize ChatGPT?” and “What are some ChatGPT prompts that a wedding planner could use to help them in business?” Here is what they had to say:
‘A wedding planner can utilize ChatGPT in several ways to enhance their business and streamline their planning processes.
Here are some of the best ways to use ChatGPT effectively:
- Idea Generation and Inspiration: ChatGPT can be a valuable tool for generating creative ideas for wedding themes, decor, and unique experiences. You can ask it for suggestions related to design, color palettes, and innovative concepts to offer your clients fresh and exciting options.
- Client Communication and Inquiries: ChatGPT can help respond to client inquiries efficiently, especially for routine questions or initial information. It can assist with providing basic details about your services, packages, availability, and pricing, freeing up your time for more personalized interactions.
- Vendor Recommendations: You can use ChatGPT to generate vendor recommendations based on your clients’ preferences. It can suggest reliable florists, caterers, photographers, and other vendors in your area, which can save you time in research.
- Content Creation and Marketing: Utilize ChatGPT to help generate content for your website, blog, or social media. It can assist in crafting engaging blog posts, wedding planning tips, and social media posts to showcase your expertise and attract potential clients.
- Planning and Timeline Assistance: ChatGPT can assist in creating wedding planning timelines, checklists, and to-do lists.
- Budget Management: Use ChatGPT to help clients create and manage their wedding budgets effectively. It can provide tips on cost-saving strategies, allocation of funds, and advice on making informed financial decisions.
- Crisis Management and Problem-Solving: In high-stress situations or when unexpected issues arise, ChatGPT can offer quick solutions and guidance for resolving problems on the wedding day.
- Legal Requirements and Documentation*: ChatGPT can provide information on marriage license requirements, permits, and legal aspects of weddings**, helping clients navigate the necessary paperwork and compliance.
- Emergency Planning and Backup Options: Discuss contingency plans and backup options with ChatGPT, especially for outdoor weddings where weather-related issues can be a concern.
- Post-Wedding Follow-Up and Feedback: Use ChatGPT to draft post-wedding follow-up emails or surveys to collect feedback from clients and encourage them to leave reviews.
*To get the most out of ChatGPT, remember to verify the information it provides, especially when it comes to specific local vendors, legal requirements, and regulations, as this information can change over time and CHATGPT is only current to 2021.
**Legal disclaimer: ChatGPT can not replace the services of a lawyer, and can not provide legal advice. Always have all of your business documents reviewed by a lawyer in your area.
A wedding planner can use ChatGPT to assist them in various aspects of their business, from generating ideas and answering client inquiries to offering planning tips and advice.

Bonus use idea:
I even used ChatGPT to write the Meta description for this post, using this prompt: “Write a meta description for an article about using ChatGPT for a wedding business.” And here is what it wrote for me: “Unlocking the Power of AI: Elevate Your Wedding Business with ChatGPT. Discover how wedding planners are leveraging ChatGPT to streamline planning, find creative inspiration, and enhance client experiences. Explore the endless possibilities AI can bring to the world of wedding planning!” I tweaked it a little before using it, but all-in-all it was perfect.
So there you have it! Utilizing AI does not need to be intimidating or overwhelming, just make your free account and start playing around. If you use AI properly, it can be a wonderful efficiency tool for your wedding business, and a great resource for blog idea generation.
But always keep in mind while ChatGPT is a valuable tool to enhance your expertise and efficiency, human judgment and oversight are essential in ensuring a successful wedding planning process.
